Calendly vs booking software: when a link stops being enough
Calendly books meetings well. Here is when a salon, clinic or studio outgrows it, what each costs for a small team, and when Calendly is still the right call.
We make dailybuilt, one of the booking systems this page compares Calendly with. Read it with that in mind. We read Calendly's pricing and help pages on November 5, 2026.
Calendly's free plan gives you one event type and one connected calendar. That is enough for a consultant who takes one kind of call. It stops being enough the day a client asks for a 30-minute trim with a specific barber, or a new patient needs an intake form before the first visit.
The short answer. Calendly is a meeting scheduler. It is very good at finding a time between people's calendars. A booking system is built around services, staff and clients, with a record of who came, what they had and what they paid. If you sell your time in meetings, stay on Calendly. If you sell appointments for services, you will probably outgrow it.
What Calendly is built for
Calendly's own plan cards describe the job. Free has "One event type" and "One-on-one scheduling". Standard adds "Unlimited event types", "Connect multiple calendars", "Automations & reminders" and payments through Stripe or PayPal. Teams adds "Round-robin & team scheduling" and "Qualify, route, & schedule leads", with Salesforce.
- Price. Free. Standard from $10 per seat a month. Teams from $16 per seat a month. Enterprise starts at $15,000 a year and 50 seats. A seat is anyone who connects a calendar and hosts meetings. Invitees need no seat.
- Payments. Standard and up connect Stripe or PayPal. The invitee pays the full price at booking, and the meeting is confirmed once payment goes through.
- Deposits. Not on regular bookings. Calendly's Stripe help page says deposits are possible through payment links, which are "currently in private beta".
- Refunds. Done in Stripe or PayPal, not in Calendly.
- Tax. "Calendly does not calculate or collect VAT or sales tax."
- Health data. Calendly's pricing and payments pages don't mention HIPAA or a BAA. If you are a covered health business, ask Calendly in writing before patient details go into it.
Calendly is the better tool for sales calls, interviews, consultations and teams that book across several connected calendars. Its routing forms and Salesforce links are built for exactly that.
Seven signs a scheduling link has stopped working
These are the moments small service businesses hit first. Most of them are jobs Calendly's pricing page doesn't list.
- You have a service menu, not a meeting. A cut, a color and a cut and color have different lengths, prices and buffers for cleanup.
- Clients pick the person. "Anyone available" for most, a specific stylist or clinician for some.
- You need to know who came back. A client record with past visits, notes and spend.
- You invoice after the visit. The price changed because you added a service, or insurance needs a receipt.
- Rooms or equipment are the limit. Two clinicians can't use the one treatment room at the same time.
- You need intake before the first visit. Allergies, consent, a referral source.
- You want your own site. Your booking page on your domain, not on a scheduler's.
If none of these apply, a scheduling link is fine and a booking system is extra cost and setup.
What a small team pays
A four-person salon wants clients to choose a stylist or take whoever is free. On Calendly that is team scheduling, which is on Teams.
| Setup | Monthly cost |
|---|---|
| Calendly Teams, 4 seats at $16 | $64 |
| Calendly Standard, 4 seats at $10 (no round robin) | $40 |
| dailybuilt Essentials, up to 5 staff | $29.99 |
Calendly's price is per seat, so it grows with every stylist. A fifth seat on Teams makes it $80. Both pay card processing on top. Calendly's number also buys only the scheduling. Client records and invoices would sit in another tool, and that tool has its own bill.
dailybuilt, if the job is appointments for services
This is our product, so judge it against the above.
- Price. Essentials is $29.99 a month, monthly billing, for up to 5 staff, with your own domain. Foundation is $99 a month for up to 10 staff and adds automations, documents and e-sign and an inbox for forms and email.
- Booking. Services with their own length, price and buffers, staff or rooms as bookable resources, intake questions per service, and clients who choose a staff member or take the first one free. A database rule stops two bookings on the same resource at the same time.
- After the visit. A customer record for every client, invoices with a pay page, and card payments. dailybuilt adds no platform fee on its self-serve plans.
- Reminders. Text and email confirmations and reminders on every plan. Clients cancel or reschedule from their link, up to a cutoff you set in hours.
- Deposits. A deposit per service, paid when the client books, with the card saved for a no-show or late-cancellation fee that you charge from the booking. A client who cancels before the cutoff gets the deposit back automatically.
- Health. Healthcare Edition comes with a BAA on any plan. Ask dailybuilt to switch it on.
- Limits. No group or class bookings, no recurring appointments and no waitlist. Google Calendar only, with no Outlook or Apple calendar. One location per workspace.
Pick dailybuilt if your week is booked appointments for services and you want the booking, the client record and the invoice in one place.
