We build and run the AI that handles your property management admin.

dailybuilt is the thinking layer for your company. For residential property managers with 5 to 30 staff and 200 to 2,000 doors, our team sets up AI that sorts maintenance requests and drafts the vendor dispatch, answers owner inquiries, checks applications and pay stubs against your criteria and drafts owner reports, alongside AppFolio, Buildium, Rent Manager or Yardi Breeze. A person on your team approves before anything goes out.

One maintenance request, the way we set it up
  1. 01
AIReads the request from your web form or inbox and sorts it by trade and urgency.
  2. 02
AIPuts anything urgent in front of your on-call person right away.
  3. 03
AIDrafts the work order for the vendor you use for that trade.
  4. 04
Your teamApproves the dispatch or picks a different vendor.
  5. 05
AITells the resident what happens next and logs every step.

Eight admin jobs we take off your team.

Each one runs on your criteria, your templates and your software. Income documents need the closest look: in a 2024 NMHC survey of 75 leading apartment owners, developers and managers, 70 had experienced fraud in the past 12 months, and 59 of those 70 named falsified pay stubs, employment references or other income documents.

  • Maintenance triage and vendor dispatch

We set up sorting by trade and urgency for requests that arrive by web form or email, draft the work order for the vendor you use for that trade, and put anything urgent in front of a person.

  • Owner inquiries and management proposals

When a property owner asks about management, we draft the rental analysis and your proposal the same day for your team to review and send.

  • Rental application intake

We set up intake that checks each application for missing documents and asks the applicant for them, so files reach your team complete.

  • Pay stub and income checks

We build checks that run the arithmetic on each stub and compare income with your written criteria. Your team makes the call.

    The four checks we run
  • Showing scheduling

Prospects pick a showing time online against your agents' hours and get a reminder before they arrive.

  • Lease renewals and late-rent follow-up

We draft renewal offers and late-rent reminders on your schedule and your notice rules, from the lease and ledger data in your software.

  • Monthly owner reports

We pull each owner's numbers from your software and draft the monthly report with a plain summary of what happened at the property.

  • Move-in and move-out paperwork

Checklists, addenda and notices go out for e-signature in the right order, and each signed copy is sealed as a PDF and filed.

Six numbers your monthly report tracks.

A rent roll shows occupancy and rent. These come from the admin work itself, so we start counting when we start the work. We set each definition with you, and your first month is the baseline.

  • Days from application to decision

How long an applicant waits for your yes or no.

= decision date minus submission date

  • Applications complete on first submission

The share that arrive with every document your criteria ask for.

= complete on arrival / all applications

  • Maintenance first-response time

Time from a resident's request to a confirmed next step from a person or vendor.

= first confirmed reply minus request time

  • Renewal rate 90 days out

Of the leases ending in the next 90 days, the share already renewed.

= renewals signed / leases ending in 90 days

  • Staff hours on admin per 100 doors

Admin time each month, scaled to the size of your portfolio.

    = admin hours / doors × 100

  • Owner inquiry to proposal

How long a property owner waits for your management proposal.

= proposal sent minus inquiry time

How does it work with your property management software?

It sits beside the software you run today. Nothing changes in how residents pay rent or how owners get paid.

  1. 01

    We map your admin work.

We sit with your team, list every recurring task, and note who does it now and how long it takes.

  2. 02

We connect to your property management software.

AppFolio, Buildium, Rent Manager or Yardi Breeze stays your system of record. We build the connection for your firm, through whatever your software and plan allow.

  3. 03

We set up the AI and the automations.

Each job runs on your screening criteria, templates, vendor list and notice rules, with every record kept in your own workspace.

  4. 04

A person on your team approves before anything goes out.

Messages, notices and owner reports wait for sign-off. Every change is written to an audit log, and you get a monthly report of the work handled.

What stays with your team.

We take the admin. The decisions and the money stay where they are.

  • Leasing decisions

We check files against your criteria. Your team approves or declines every applicant.

  • Your screening criteria

You write them. We apply them the same way to every applicant and never change them on our own.

  • Rent, deposits and trust accounts

Money stays in your property management software and your bank.

  • Your property management software

We work beside it. We do not move you off it.

  • Legal notices and evictions

We draft from your templates. Your team or your attorney sends anything with legal weight.

  • Emergency calls

Life-safety calls go to your on-call person. We do not run an answering service.

Questions property managers ask before an intro call.

What does dailybuilt do for a property management company?

dailybuilt is the thinking layer for your company. It sits beside your property management software, and our team builds AI and automations that take admin work off your staff: maintenance triage, owner proposals, application intake, pay stub checks, renewals and owner reports. A person on your team approves before anything goes out, and each month you get a report of the work handled.

Does dailybuilt replace AppFolio, Buildium, Rent Manager or Yardi Breeze?

No. Your property management software stays the system of record for units, leases, rent and owner accounting. dailybuilt works alongside it. We build the connection for each firm, based on what your software and plan allow, such as an API, scheduled report exports or file imports.

Does AI approve or decline rental applicants?

No. The checks we set up confirm that a file is complete and that the income documents add up against your written criteria, then mark anything that does not. A person on your team makes every leasing decision, and the same checks run on every applicant.

How are pay stubs checked?

We set up four checks on every stub: gross pay minus deductions equals net pay, Social Security and Medicare match the published rates, year-to-date pay matches the number of pay periods, and net pay shows up as a deposit on the bank statement. A failed check goes to your team with the reason marked. It is a reason to ask for more, not an automatic decline.

How much does it cost?

It is a monthly retainer. We scope it on an intro call, based on which jobs you hand us and how many doors you manage.

What is in the monthly report?

The work handled that month, such as applications checked, maintenance requests routed and renewals sent, plus the numbers we agree on with you, such as days from application to decision and maintenance first-response time. Your first month sets the baseline.

Is our residents' and owners' data used to train AI models?

No. The AI we set up runs on business accounts with model providers whose terms bar training on your data, and we name the provider for your firm on the intro call. Only the request being worked on is sent, and every draft and approval stays in your workspace.

Can we use Claude or ChatGPT with it?

Yes. dailybuilt has a remote MCP server, so Claude, ChatGPT or another MCP client can work with your records and automations under your own role. Anything that publishes or spends asks you to confirm first.

What happens to our data if we stop?

Your data stays yours. An owner or admin can download a full export at any time: a ZIP with one file per table, CSV copies and every attached file. Every change made in your workspace is also written to an audit log.
